High Prairie School Division (HPSD) sought out a more secure and efficient way to share report cards and facilitate parent-teacher communication. Recognizing the limitations of email and the need for a more streamlined approach, the district implemented Sparkrock’s Edsembli Family Portal—transforming how families engage with their child’s education. 

While HPSD had long used digital tools for communication in its secondary schools, elementary-level adoption remained a gap. That changed when the district saw the capabilities of Sparkrock’s Family Portal. The new system offered an intuitive, secure platform where parents could easily access student information, improving transparency and engagement across all grade levels. 

Angela Uhrig-Dow, Student Information Specialist at HPSD, believes the portal’s features—particularly the homework tool—will foster stronger connections between teachers, students, and parents. Additionally, the communication board provides an interactive space for direct updates and announcements. 

“Edsembli’s unified login is a game-changer, as it allows parents to seamlessly manage multiple children, even across several schools. Through secure mobile access to student data such as attendance, marks, and report cards, the portal has also reduced the risk of falling prey to phishing attacks or bad actors,” says Uhrig-Dow. 

After piloting the portal in May and June, HPSD moved forward with a full-scale deployment in September. Sparkrock provided detailed documentation to guide families through the transition, minimizing potential challenges. Any issues identified during the pilot phase were quickly addressed by the Sparkrock team, ensuring a smooth rollout. 

To further support adoption, Sparkrock introduced login activity reports, helping HPSD track engagement by monitoring which students and parents are accessing the system. These 30-day snapshots offer valuable insights into usage trends, allowing the district to continuously refine its approach.

The District School Board of Niagara (DSBN) is committed to student success above all else. Founded on the motto "Achieving Success Together," the district focuses on equipping students with the knowledge and skills they need for success in the modern workplace. The board is also active in the wider Niagara community, establishing partnerships with organizations like the United Way, the Tecumseh Centre for Aboriginal Education, and the Regional Government. 

Spanning all twelve municipalities of the Niagara region, DSBN is responsible for roughly 43,000 K-12 students across 77 elementary schools and 17 secondary schools. Governed by a board of 11 elected trustees, the district employs nearly 2,600 teachers and over 1,300 support staff.

Originally, DSBN managed its financial processes with a legacy system first installed in 1988. The platform did exactly what they needed it to do for nearly thirty years. However, by 2018, the district recognized that the solution was beginning to show its age. 

"With the magnitude of reporting coming from the Ministry of Education, we found ourselves spending more and more time on paperwork," explains DSBN Controller of Finance Nicky Westlake. "We were frequently asked to provide reports with just a few weeks' notice. We needed a system that could do this rapidly — our existing solution was held back by paperwork and rigid processes." 

This problem was only further exacerbated by the district's rapid expansion, adding even more paperwork to the pile. 

"Our growth, enrollment, and employee growth was huge," continues Nicky. "On the business side, we had to find a way to do more with less. We also had to ensure our financial processes and systems were largely invisible to staff."  

After briefly evaluating their options, the board decided to go paperless. The need for agility and scalability weren't the only factors guiding this decision. Westlake and her colleagues also wanted better reporting capabilities and an easier way to search their records.

But most notably, they wanted to support remote work, allowing them to go out, assist schools, and train staff. They also wanted less reliance on deliveries from schools to their main office, as it was a very slow and lengthy process. With all this in mind, a vision quickly emerged: Consolidating everything into one solution.

In 2018, DSBN made that vision a reality. 

Initially, DSBN transitioned from their legacy solution onto an older version of Sparkrock. It was a massive and welcome change, even if some of their old processes couldn't be done in the new system immediately. Then, just four years later, the district had to make another switch — this time to Sparkrock 365. 

They were hesitant at first to make the change. 

"We'd been in the same legacy system for 30 years before 2018, and now, just four years later, we were being told to upgrade again," says Nicky. "We were hesitant. It was a big undertaking, and our teams were comfortable. But we realized there's really no good time for a transition like this, so we ripped the band-aid off and went all-in." 

DSBN now uses Sparkrock 365 for all their financial processes. Nicky was incredibly pleased with the new platform's ease of use, noting that they could train people with only a one-page handout. The migration process was also very smooth, taking about a month from start to finish. 

"The system was so user-friendly and easy to follow that even doing the migration didn't require much training," she continues. "We did our training in January 2024, just after the holidays, and it only took one hour before the teams were up and running. We've since received emails from secretaries and office staff about how intuitive everything is now."

Following the rollout of Sparkrock, DSBN has achieved a few key goals: 

No More Physical Paperwork

All of DSBN's financial services and financial processes are now paperless. This has considerably reduced paper costs, while also allowing the district to go from daily couriers to two couriers per week. DSBN has also reclaimed some of their office space by removing fifty file cabinets. 

There's another advantage to going paperless, too — everything is now stored in one place, easily searchable and accessible to anyone with the right permissions. 

"I have full visibility into the board's finances," says Nicky. "I can quickly find any information I need and arrange it on screen however I need to see it."

Effortless Employee Expense Management

DSBN is one of the first boards to set up Employee Expense Reimbursement and Purchasing Cards within Sparkrock 365. Prior to deployment, it usually took roughly two weeks to pay employees back. Now, however, it's rare for employees not to be paid back within the week — Nicky estimates the district has seen roughly a 50% reduction in reimbursement time, with some even happening within 24 hours. 

The district has set up all 4000 of their employees within the system and given them a simple ten-step process to manage their own reimbursements. Expenses are kept simple and straightforward so as to be easier to work with, and employees only get access to the account they need to run an expense through, such as mileage claims.

Automated Reporting

Sparkrock 365 also comes with a lot of new reporting capabilities. Before, DSBN needed to export data and put it into a template to create reports. Now, everything is automated, not only reducing the district's administrative workload but also allowing them to provide better service to end-users, with status updates down to individual processes and tasks.

In addition to addressing core challenges and achieving significant outcomes, DSBN recognized several ancillary benefits in its transition to Sparkrock 365. 

  1. Broader Legacy Support: Some processes from DSBN's old system couldn't be easily done in the older version of Sparkrock. Sparkrock 365 has allowed the district to integrate these processes with ease.  
  2. Advanced Reporting: DSBN is looking at deploying Power BI in the future for even more reporting capabilities, and their IT department is exploring the possibility of leveraging artificial intelligence.

Just as teachers inspire and encourage students to become more engaged and passionate about their education, leaders inspire teachers. They have a pivotal role in upholding the morale, reputation, and culture not just of teachers but also of the surrounding community. 

In other words, they are the pillar upon which the success of students, teachers, schools, and school districts rests. 

But what exactly is a school leader? And what does it take to be an effective one? While we don't really have a cut-and-dry, one-size-fits-all answer to the question, there are certain strategies, attitudes, skills, and traits that most effective leaders — school leaders included — have in common.

Humans are and always have been a social species. Even before the rise of anything resembling a society, it was through communication and collaboration with one another that we were able to thrive. A good school leader recognizes this, just as they recognize that in order to be successful, a school must be part of its surrounding community. 

Such a leader cultivates partnerships between students, teachers, parents, districts, and community members, then leverages these partnerships to promote cooperation. The effectiveness of this undertaking largely hinges on the leader's visibility in the community. They must themself have an active role, one where they always demonstrate transparency, accountability, and a shared sense of purpose.

It's no secret that burnout is at an all-time high amongst educators. In 2024, for instance, 39% of K-12 teachers reported always or very often feeling burnt out. What's more, only 30% of U.S. K-12 employees reported feeling engaged at work in 2023. 

One of the most effective ways to address this problem is to simply be a leader teachers can trust — someone they know is supportive and understanding of their needs and challenges.  People who trust their leaders are in their corner are more engaged, more productive, more collaborative, and ultimately more motivated to give it their all in the workplace.

There is no such thing as perfect, complete knowledge of a topic. An effective leader accepts this reality, but engages in a lifelong pursuit all the same. Knowing it all might be impossible, but knowing enough and acquiring more knowledge each day? 

That's a winning mindset. 

This doesn't just apply to leadership, either. School leaders should encourage their faculty to become lifelong learners, as well. That way, they'll be able to change and grow with the world, embracing and applying breakthroughs in teaching styles, techniques, and technology — preparing themselves for the present while also laying the groundwork to plan for the future.

The best leaders are visionaries who understand how to turn their visions into concrete ideas. That's well-established knowledge. What you might not know, however, is that vision alone isn't enough. 

The ability to convey that vision to colleagues and subordinates is just as important. 

As such, the best school leaders must not only have a strong sense of what's best for their district, they must also be able to collaborate with teachers, students, parents, and communities.  They need to know how to build the motivation and inspiration to get everyone working collaboratively toward their goals. Finally, they must be focused, with a well-executed plan and the foresight to avoid getting sidetracked by unrelated issues.

Individual Education Plans (IEPs) are a must-have for a modern school district. Presented with a learning environment tailored to their needs, learning abilities, personal traits, and challenges, students can truly thrive. The school leader's job is to do what's necessary to support the creation and management of IEPs.

That starts with collaboration. Establish a continuous dialogue between students, teachers and parents, and then listen to teachers when they say what they need to ensure the best possible outcome for each student. Genuine enthusiasm is infectious. Moreover, when coming from leadership, it shows dedication to the well-being of both the district and its teachers and students. That, in turn, motivates everyone to do their best.

We learn more from our mistakes than from our successes. That's something many of us forget as we progress from childhood into adulthood. We're cautious about making mistakes because we're scared of their potential consequences.

An effective school leader has no time for this attitude. Rather than relying solely on the established way of doing things, they aren't afraid to think creatively and engage in some calculated risk-taking. And when teachers see this attitude reflected in their leadership, they become more inclined to do the same.

It's a top-down strategy that works — and one that's immensely helpful to students, as well. Teachers can encourage students to be more daring and creative with their work, inspiring growth and potentially sparking new interests. Just remember the one attitude that ties everything together: Reward innovation, celebrate success, and do not punish failure.

If there's one truth about effective leadership that transcends industries, it's that the best leaders have integrity. They lead by example, practicing what they preach and serving as role models for everyone who follows them. They never ask people to do something they wouldn't, and their actions and words always line up with one another.

A leader doesn't run from challenges. Instead, they overcome obstacles through a combination of planning, determination, and skill. Within the context of a school district, the importance of this kind of leader cannot be understated — nor can the impact of a leader who avoids or ignores obstacles. 

This isn't just about problem-solving, either. It's about commitment. A good leader sticks with their district to the best of their ability rather than ducking out the moment things become challenging.
